Follow Up Ace (Ace) is an AI assistant built directly into Follow Up Boss. It reads your CRM, answers questions about your contacts, helps you draft follow-ups, creates tasks, and coaches your next move — without ever leaving the tool you already use every day.

Think of Ace as a knowledgeable team member who has read every note, reviewed every activity log, and is always ready to help you decide who to call, what to say, and what to do next.

What Ace Knows About Your Business

Ace has real-time access to your Follow Up Boss data:

• Contacts — history, notes, tags, assigned agent, lead source
• Activity — calls, emails, texts, property searches, showings
• Pipeline — stages, deals, open and overdue tasks
• Team — assignments, action plans, follow-up activity by agent
• CRM structure — your custom fields, tags, and SmartLists

This means you can ask questions like "Who are my warmest buyer leads this week?" or "What's the last note on the Johnson file?" and get an immediate, accurate answer.

What You Can Do With Ace Every Day

• Morning planning: "Who should I call today and why?" — Ace surfaces your highest-priority contacts based on recency and activity signals
• In-the-moment prep: "Remind me about the Garcias before I call them." — pulls full contact summary, last conversation, and pending tasks in seconds
• Follow-up drafting: "Write a re-engagement text for this lead who went quiet 3 weeks ago." — Ace drafts in your voice, you review and send

The Ace Companion — Your Tag-Along Workflow Window

The Ace Companion is a floating window that sits alongside Follow Up Boss on your desktop and follows you contact-to-contact as you work. Both Regular and Pro users have access.

How the Companion works:

1. Open it by clicking the Open Companion button in the top-right of the Ace embed in FUB.
2. Check the NEXT view — a prioritized list of who to reach out to today, ranked by urgency and opportunity. Click a contact.
3. FUB loads that person — the Companion's NOW pane automatically updates with a briefing based on the contact now open in the embed: last interaction, priority signals, and what to say next.
4. Work the contact in the embed — click into the Ace chat on the contact's page and ask Ace to draft an email, SMS, talking points, or anything else. Collaborate until you have something you like.
5. Send, then move on — review the draft, make any tweaks, send it, then go back to the NEXT view for the next contact.

The Companion is desktop-only and is designed to keep you moving efficiently through your list without losing your place or switching windows constantly.

What Ace Will Never Do Without Your Approval

Ace is an advisor and drafter, not an autopilot. It will always show you a preview and ask for confirmation before:

• Sending any email, text, or message
• Creating or modifying a task or note
• Changing a pipeline stage
• Applying an action plan

Ace does not have access to your personal email inbox, calendar, or any data outside your Follow Up Boss account.

Where to Find Ace in FUB

The Ace widget appears as a button in the bottom corner of every Follow Up Boss page. Click it to open the chat panel. When you're viewing a contact, Ace automatically knows who you're looking at — no need to specify.

If you see a "Connect Follow Up Boss" prompt, your session token has expired. Tap it once to reconnect (quick, no password required).

Plan Levels

Your access level is determined by the plan your admin has assigned you:

• Free — limited functionality, basic chat
• Regular — full CRM access, unlimited conversations, task and note creation, email drafting, Companion access
• Pro — everything in Regular, plus a premium AI model with higher throughput and longer context, voice chat, contact memory, and MCP integrations
