Follow Up Ace — Admin Setup Guide

Time required: 10–15 minutes
Who this is for: The FUB account admin, broker, or owner who purchased Follow Up Ace. Standard agents do not use this guide — they are activated by their admin.

Before you start

• You need admin, broker, or owner access in Follow Up Boss — standard agents cannot complete this setup.
• Have your billing info ready.
• Open app.followupace.com and app.followupboss.com side by side, or in separate tabs.

Step 1 — Create your account

1. Go to app.followupace.com/signup.
2. Enter your email and create a password (or sign in with Google).
3. Accept the Terms of Service.

Note: If you were invited by someone else, follow the invite link in your email — you do not need to sign up separately.

Step 2 — Verify your email

1. Check your inbox for a verification email from Follow Up Ace.
2. Click the verification link.
3. You will be taken to the next step automatically once your email is confirmed.

Google sign-in skips this step — your email is already verified.

Step 3 — Connect Follow Up Boss (OAuth)

This is the most important step. Ace uses OAuth to read your contacts, activities, and deals from FUB. Without it, the AI has no data to work with.

1. Click Connect Follow Up Boss on the OAuth setup screen.
2. You will be redirected to Follow Up Boss. Sign in with your FUB admin credentials.
3. Review the permissions and click Allow.
4. You will be redirected back to Follow Up Ace automatically.

Important: You must have admin, broker, or owner access in FUB to complete this step. Standard agent accounts cannot authorize the integration.

Step 4 — Select your plan

Choose one or more products for your account. You can change this later.

• Ace — AI chat embedded in Follow Up Boss. $25/seat/month.
• Ace Pro — Voice, chat, Claude & ChatGPT integration. $55/seat/month.
• AI Engine — Automated contact scoring, Pond Coverage analysis, and relationship health monitoring. Tier-based pricing ($49–$899/mo based on contact database size).

If you select AI Engine, choose your tier now. Ace will recommend a tier based on your FUB contact count — you can override it. Billing starts when you complete checkout in Step 5.

Select at least one plan to continue, or click Skip for now to proceed without billing (free access, limited features).

Step 5 — Billing

1. Enter the number of seats for each plan you selected.
2. Enter your payment details.
3. Review your total and click Subscribe.

If you clicked Skip in Step 4, you will not see a billing screen. You can add a plan at any time from the admin dashboard.

Step 6 — Configure your account

Set up your brand identity and assistant preferences before your team goes live.

1. Enter your Company Name and any business context (market, specialties, team style).
2. Adjust assistant tone and behavior settings.
3. Review your Knowledge Base — this is the context Ace uses to answer questions about your business. Ace will build an initial KB automatically from your FUB data.
4. Click Enable Ace to activate the assistant for your account.

After setup — Add team members

1. Go to Team in the left sidebar of the admin dashboard.
2. Click Add Users and enter the email addresses of agents you want to activate.
3. Assign a plan to each agent (Ace or Ace Pro).
4. Agents will receive an activation email automatically. They do not need to enter payment info.

Optional — Set up MCP (Pro plan required)

MCP lets you connect Ace to Claude Desktop, ChatGPT, or other AI clients for advanced workflows outside of FUB.

1. Go to Integrations in the left sidebar.
2. Copy your Remote MCP Server URL.
3. Add the server URL in Claude Desktop or your preferred AI client.

Setup complete ✓

Your team is now ready to use Follow Up Ace. Agents will see the Ace assistant embedded in Follow Up Boss — no additional configuration required on their end.
